05 Our Legal Basis for Processing
Legitimate interests
We process your personal data because we have a legitimate interest in responding to business enquiries, administering trial requests, providing requested information, connecting enquiries with the appropriate Matsui office, improving our services and application process, and maintaining records of business communications. We have considered the impact on individuals and believe these activities are within the reasonable expectations of someone submitting a business enquiry.
Your right to object
Because we rely on legitimate interests, you have the right to object to this processing at any time. If you object, we will stop processing your personal data for these purposes unless we have compelling legitimate grounds that override your interests, or we need the data to establish, exercise or defend legal claims. To object, contact our data protection contact point at [email protected].
Consent (analytics only)
Where analytics cookies or similar technologies require consent under applicable law, we rely on your consent before collecting that information. You may withdraw your cookie consent at any time through our cookie settings.
Legal obligations
In certain circumstances, we may process personal data to comply with legal or regulatory obligations.
06 Progressive Data Collection
To improve the application experience and understand where users encounter difficulties, some information may be saved as you move through the application — before you reach the end, and before you finish. Where personal data is collected in this way, it is used only for the purposes described in this notice.
If you do not complete the application, we may retain the information for a limited period (see Section 10), and we may contact you once to offer assistance (see Section 12).
07 Analytics and Cookies
We use cookies and similar technologies to operate and improve our website. Non-essential analytics technologies are activated only after you provide consent. Our consent tool lets you accept or reject analytics cookies with equal ease, and no analytics identifiers are set before you have made that choice.
Analytics information is used to understand website usage, measure campaign performance, analyse application completion rates, and improve website functionality. No directly identifying information (such as your name or email address) is sent to our analytics tools.
The full list of cookies used on this site, updated automatically, is shown below:
08 Who We Share Your Data With
Matsui Group companies
Your enquiry may be shared with the Matsui office, affiliate or representative responsible for your country or region, so that your request can be handled efficiently.
Service providers
We use trusted service providers that process personal data on our behalf, including providers of cloud database and customer-relationship services, website hosting, analytics, and email and communications platforms. These providers are contractually required to protect personal data and to process it only according to our instructions.
Legal requirements
We may disclose personal data where required by law, regulation, court order, or governmental request.
We do not sell personal data to third parties.
09 International Transfers
Because the Re-Pellet programme operates globally, personal data may be transferred to Matsui group companies and service providers located outside your country of residence.
Where personal data is transferred outside the European Economic Area, the United Kingdom, Switzerland, or other jurisdictions with transfer restrictions, we implement appropriate safeguards such as Standard Contractual Clauses, adequacy decisions, or other legally recognised transfer mechanisms. You may contact us at [email protected] for further information about these safeguards.
10 Data Retention
We retain personal data only for as long as necessary for the purposes described in this notice.
| Type of record | Retention period |
|---|---|
| Incomplete or abandoned applications | 6 months from the date of last activity |
| Completed applications and trial requests | For the duration of the trial process, and a reasonable period thereafter to administer the business relationship, comply with legal obligations, and maintain business records |
Retention periods may be extended where required by law, or where necessary to establish, exercise or defend legal claims.

Subject to applicable law, you have the right to:
- Access your personal data
- Correct inaccurate personal data
- Request deletion of your personal data
- Restrict processing
- Object to processing based on legitimate interests (see Section 5)
- Receive a copy of certain personal data in a portable format
- Withdraw consent where processing is based on consent
- Lodge a complaint with a supervisory authority
To exercise any of these rights, please contact our data protection contact point at [email protected].
If you are located in the European Economic Area, you also have the right to lodge a complaint with your local data protection authority. In Spain, this is the Agencia Española de Protección de Datos (AEPD).
12 Communications and Follow-Up
The Re-Pellet enquiry process is intended to facilitate communication regarding your trial request. We may contact you regarding your application, information required for the trial, trial results, and associated technical discussions.
If you begin an application but do not complete it, we may send you a single follow-up email offering assistance to complete it. This email is limited to helping you finish your enquiry — it does not contain unrelated marketing or promotional material.
Where separate marketing consent is required under applicable law, we will obtain it before sending any unrelated promotional communications.
13 Data Security
We use reasonable technical and organisational measures designed to protect personal data against unauthorised access, accidental loss, misuse, alteration, disclosure and destruction. However, no system can be guaranteed completely secure.
